Executive Assistant - Space Administration Office (Ref. 2025/247/01)
Post Specification
Key Duties and Responsibilities:
1. Assist with the University’s space allocation matters, including data collection, analysis, and preparation of recommendations.
2. Provide comprehensive secretarial support to the Office and the Space Allocation Committee, including meeting scheduling, agenda preparation, minute-taking, document circulation and action follow-up.
3. Assist with the management of the Space Resource Management System, covering data updates, request and issue tracking, routine system maintenance, and basic user support.
4. Facilitate and coordinate communications among stakeholders (faculties, departments, and admin units) on space allocation issues; consolidate feedback and ensure timely follow-through.
5. Prepare and maintain records, reports, and presentations related to space planning and usage.
6. Undertake other duties assigned by the supervisor.
Qualifications and Requirements:
1. Bachelor’s degree or above. Preferred majors: Administration, Statistics, Computer Science, Resource Management, or related fields. Candidates from non-related disciplines may be considered if they demonstrate relevant skills (e.g., data analysis, system management).
2. At least three years of relevant work experience, those in higher education institutions would be a plus.
3. Excellent communication, negotiations and interpersonal skills.
4. Strong command of written and spoken English and Chinese; proficient in Word, Excel, PowerPoint. Experience with CAD and statistical analysis is an advantage.
5. Proactive, self-motivated, able to work independently and collaboratively within a team.
6. Well-organized, mature, meticulous, and confident in handling complex tasks and multiple priorities.
Salary and Benefits
Salary will be competitive, commensurate with qualifications and experience. Appointments will be made under the establishment of CUHK-SZ and statutory benefits will be provided according to the prevailing labor laws applicable in the PRC. The appointee will be based at the University campus in Shenzhen, PRC.
